1. Scope & summary

This notice explains how Qubiverse Learning Solutions Pvt. Ltd. ("SparkSchool", "we", "us" or "our") processes personal information through SparkSchool AI. It covers sparkschool.ai, app.sparkschool.ai, related applications and extensions that link to this notice, and our communications about these services.

It applies when you visit our website, create an account, use teaching tools, connect an integration, request a demo, subscribe to resources or contact us. The information involved depends on the features you use and the information you or your school provide.

This notice explains our practices; reading it or using the website does not replace consent where consent is required by law. For school-managed services, the school agreement and applicable data-protection requirements also govern how we handle school information.

2. What information do we collect?

Information you or your school provide

• Account and teaching profile: name, email, school, role, curriculum, grades, subjects and teaching preferences, together with information needed to authenticate and administer your account.
• Teaching and learning content: prompts, conversations, uploaded documents, textbook-related notes, saved materials, generated resources and other content you choose to submit or store. Where a feature accepts images or audio, the material you provide is part of that feature’s input.
• Class and assessment information: class details, learner identifiers, responses, results, feedback and learning observations supplied through the features your school uses.
• Enquiries and communications: contact details, organisation information, demo requests, support messages, feedback and newsletter preferences.
• Subscription and transaction information: plan, billing contact, payment status and transaction references. Payment providers process payment credentials according to the checkout method you choose.

Please provide only the information needed for the task. Avoid including unnecessary student identifiers, health information or other sensitive details in prompts, uploaded files or support messages.

Information collected automatically

When you use the services, our systems and measurement providers may process pages and features accessed, timestamps, referring pages, browser and device characteristics, operating system, network information, IP addresses, approximate location derived from technical information, and error or performance data. The data collected and retained differs by service and configuration; not every provider stores each of these fields.

Information from connected services

If you use third-party sign-in or connect another service, we receive the account information and content made available through the permissions you authorise. A school may also provide your account, class or roster information when arranging access.

Your app account and consent records

The app at app.sparkschool.ai processes the account, teaching and classroom information described above when you use the relevant features. School administrators may access school-associated information according to their role and school arrangements.

We record the versions and timestamp when you agree to our Terms and acknowledge this notice, linked to your verified account. Cookie choices are stored separately with a random browser identifier, hostname, timestamp and expiry. Neither acknowledgement authorises unrelated marketing. Rejecting optional analytics does not prevent sign-in or use of essential features.

3. How do we use your information?

• Create and manage accounts, authenticate users and provide the requested features.
• Generate teaching materials, organise saved resources and support assessment, differentiation and remediation workflows.
• Personalise the teaching experience using the curriculum, classes, references and preferences you provide.
• Process subscriptions, respond to enquiries, provide support and send necessary service communications.
• Send newsletters and promotional communications in accordance with your preferences and applicable law.
• Understand usage patterns and referral traffic, evaluate website performance and improve our services and communications.
• Investigate errors, prevent misuse, protect accounts and systems, maintain records and meet legal obligations.

AI-generated insights and resources support educators’ decisions. Teachers and schools remain responsible for reviewing the material and making decisions about learners.

4. What reasons do we rely on to process information?

Where applicable law requires a legal basis, the basis depends on the purpose and our role. These may include providing a service under a contract, complying with legal obligations, your consent, or legitimate interests such as protecting and improving the service where permitted and balanced against your rights.

Where we rely on consent, you may withdraw it without affecting processing that was lawful before withdrawal. We do not treat a general reference to legitimate interests as a substitute for consent when a particular activity requires it.

For information we process on a school’s behalf, the school determines its purposes and applicable legal basis, and we handle the information under the relevant agreement and instructions.

5. How do AI tools use teaching content?

When you request AI assistance, the prompt, relevant context and supporting material needed for the task may be processed by SparkSchool and third-party AI infrastructure or model providers. This can include selected text, document content, images or audio where the feature supports them. Generated outputs and conversations may be stored to make your saved resources and history available.

We do not use your prompts or generated content to train our own models or third-party foundation models. AI processing to fulfil your request is separate from training. Content may also be processed as needed to maintain the requested service, investigate misuse or resolve a support issue.

Use only material you are authorised to provide. Review AI outputs for accuracy and suitability before using them with learners. Ownership and use of content are addressed in our Terms of Service.

6. Do we use analytics, cookies and tracking technologies?

Yes. We use website analytics and performance measurement to understand which pages are useful, how visitors reach the site, how the website performs and where the experience needs improvement. Some tools use cookies or similar identifiers; others measure traffic or performance without cookies.

• Google Analytics: measures website activity such as page visits, interactions, referral information and browser or device characteristics. Its use of cookies and collection of data depend on the configuration and browser settings. See how Google uses information from partner sites.
• Vercel Web Analytics: provides traffic and usage statistics, including page paths, referrals, device characteristics and approximate geographic information. Vercel describes this service as cookie-free and designed for aggregated analytics. See Vercel’s analytics privacy documentation.
• Vercel Speed Insights: measures page-loading and responsiveness metrics with technical context to help us improve website performance. See Vercel’s performance-data documentation.

Analytics data may be transmitted to the relevant provider when its scripts run. Removing cookies does not necessarily stop cookie-free measurement. Details about our preference controls and browser settings are in our Cookie Policy.

Optional analytics and performance scripts are off until you opt in. Use the cookie banner to accept, reject non-essential tracking, or customise your choice. You can withdraw permission at any time using Cookie settings. Cookie consent is separate from agreeing to the app’s terms. The website does not automatically interpret browser Do Not Track signals; use our preference controls to record your choice.

7. Can we use other service providers?

We may add, replace or use additional providers for analytics, performance monitoring, error diagnostics, hosting, storage, authentication, AI processing, communications, payment processing and customer support. Providers may process the categories of information relevant to their function for the purposes described in this notice.

The measurement services named above describe the tools currently included in our website. They are not a statement that we currently use every tool in these categories. For example, adding a future analytics provider would not by itself authorise a new, unrelated use of teaching or student content.

When providers or processing practices change, we will update the relevant notice and provide additional information or obtain consent where required. A materially different purpose for using personal information requires its own appropriate basis and notice. Contact us for information about the providers relevant to your school’s deployment.

8. When and with whom do we share information?

We do not sell personal information. We may disclose relevant information in the following circumstances:

• Operational providers: organisations that host systems, store data, deliver AI functionality, measure usage, handle communications, process payments or provide support, subject to arrangements appropriate to their role.
• Your school or authorised collaborators: account, class, resource and learning information made available through the school arrangement, permissions or sharing features you use.
• Your instructions: when you connect a service, export material or choose to share a resource with someone else.
• Legal and security needs: when necessary to meet an applicable legal obligation, respond to a valid request, investigate misuse or protect rights and safety.
• Business changes: in connection with a merger, acquisition or transfer of the business, subject to appropriate protections and notice where required.

Sharing student information with a provider to deliver an authorised educational feature is different from selling that information or using it for direct marketing. Where a provider acts on our behalf, access is limited to the relevant service purpose.

9. Sign-in, browser extensions and connected tools

Third-party sign-in may provide basic account information such as your name, email address, profile image and account identifier. We do not receive your third-party account password through that sign-in flow.

When you enable a browser extension or connect a service such as Google Docs, Slides or Forms, the information available depends on the permissions and feature you use. Document or page content you submit for an AI task may be processed to perform that task. Review the permission request before connecting an account.

You can manage permissions through the connected provider’s account settings or your browser’s extension controls. Revoking access stops future access through that permission; it does not automatically delete information already saved in SparkSchool. Contact us if you also want to request deletion.

10. Schools, children and student information

SparkSchool’s teaching tools are intended for educators, schools and adults guiding learning. Student information can be processed when a teacher or school supplies class information or uses an authorised learner-facing feature. Depending on the feature, this may include learner identifiers, submissions, assessment responses, feedback and learning progress.

We use student information to deliver authorised educational functionality, maintain access, support learning and protect the service. We do not sell student information or use it for direct marketing. Teachers and schools should provide only the information necessary for the activity and use anonymised or less identifying examples where practical.

Schools are responsible for determining who may access school-managed services and arranging any notices, permissions or authorisation required for learners. A child should not independently submit personal information or create an account unless the applicable access requirements have been met. Contact us if you believe a child has provided information without appropriate authorisation.

Parents and learners should normally contact their school first about records controlled by that school. We will work with the school on requests in accordance with the relevant agreement and law. See our Child Safety Policy for related guidance.

11. How long do we keep information?

We retain account information and saved content while your account is active and as needed to provide the service. When an account is closed, we delete or anonymise personal information within 90 days, except information that must be retained for legal, accounting, dispute-resolution or security purposes.

Enquiries and support records are kept for the time needed to handle the request and related follow-up. Marketing contact information is kept until you unsubscribe or it is no longer needed; a limited suppression record may be retained to honour an opt-out. Analytics and diagnostic records follow the relevant configuration and service purpose rather than necessarily following the account lifecycle.

School-managed records are also subject to the school agreement and applicable retention requirements. Deletion may involve removing active records, anonymising information or allowing restricted backup copies to expire through their retention cycle. Contact us for details about a particular category or school arrangement.

12. Security and incident response

We use technical and organisational safeguards intended to protect information, including access controls, protected connections and the security mechanisms of our infrastructure providers. Access is restricted according to operational need. No online system, transmission or storage method can be guaranteed completely secure.

If we become aware of a personal-data incident, we will assess its impact, take appropriate containment and response steps, and notify affected organisations, individuals or authorities where required by applicable law and our agreements. Please report suspected security or unauthorised-access issues to the contact below.

13. International users and data processing

SparkSchool is operated from India and serves international education communities. Information may be processed in India and in other countries where our providers operate. Privacy laws in those locations may differ from the laws where you live.

Where applicable law requires safeguards for an international transfer, the relevant transfer must be covered by an appropriate mechanism, such as contractual safeguards or another legally recognised arrangement. School-specific hosting or transfer requirements should be addressed in the school agreement. Contact us for information about processing locations relevant to your service.

14. Your privacy rights and choices

Depending on your location, the law that applies and our role in processing, you may have rights to:

• Access your information and receive a copy.
• Correct inaccurate or incomplete information.
• Request deletion, restrict processing or object to certain uses.
• Receive portable information where that right applies.
• Withdraw consent and stop promotional communications.
• Exercise applicable opt-out rights, use an authorised representative, or appeal a decision on your request.
• Raise a complaint with the relevant data-protection authority.

These rights can apply differently in India, the European Economic Area, the UK, the US, the UAE and other locations. They are subject to applicable conditions and exceptions. Where US state privacy laws apply, relevant rights may include knowing the categories of information processed and opting out of legally defined sale, sharing or targeted advertising where such processing occurs. Our statement that we do not sell personal information does not waive any rights available to you.

To make a request, email hello@sparkschool.ai. We may need proportionate information to verify identity or authority before releasing or changing records. We will respond within the applicable legal timeframe and explain any lawful reason we cannot fulfil a request. Requests concerning school-controlled data may need to be handled with your school.

You can unsubscribe from promotional emails using the link provided or by contacting us. Necessary account, transaction, support and security messages may continue. Changing browser or integration permissions does not automatically remove saved account data.

15. External websites and services

Links to external services, including Mentori, take you to a separate service. The receiving service’s privacy notice and terms apply to its handling of information. Linking to a service does not by itself share your SparkSchool teaching content with it. Review the permissions and privacy information of any service you choose to use.

16. Updates to this notice

We may update this notice as features, providers or legal requirements change. The date at the top identifies the latest revision. For material changes, we will provide appropriate notice, such as a website or in-app notice or an email to registered users, before the changes take effect where required. We will obtain any additional consent required for a new use of information.

17. Contact and privacy requests

Nothing in this notice or the website’s general jurisdiction wording limits mandatory privacy rights, access to a competent regulator or protections that apply in your location.
